THE FRIDAY LETTER #864 admin edition

9.3.2010

The Friday Letter is published every other week during the academic year to keep brothers current with news in the Fraternity, administrative reminders, and tips for making our chapters and colonies as efficient as possible.

OFFICERS CALENDAR
9/10: Pledge education program due (with detailed calendar) to Director of Education.
9/29: Annual Financial Report & Budget due.
9/30: Send updated BCA and House Corporation members to IHQ.
9/30: Required viewing of "Tell Me Something I Don't Know"; verify with online form.
10/1: Chapter President's Risk Management Agreement due.

ANNUAL MEMBERSHIP DUES & FEES
Invoices for membership dues will be sent to chapters in late September/October depending whether schools operate on a semester/quarter basis. The charge for dues is based upon the number of brothers in each chapter. Pledges are excluded from paying membership dues; however, fifth-year seniors are not. The base rate this year is $100 per brother.

NOTE: This summer's 162nd Ekklesia approved increases of $5.00 in both the pledge fee and the initiation fee.  The pledge fee is now $70, and the initiation fee is $200.

Also, if your chapter roster is updated to indicate brothers who have initiated, any outstanding pledge fees (in addition to initiation fees) must be paid before membership badges will be ordered.

Please have your chapter roster updated by Friday, 9/17/10
Here are instructions for updating your roster through the Chapter Manager Console. If questions, either email Amy Watson or phone her by calling 859.977.6309.

TELL ME SOMETHING I DON'T KNOW
As part of the settlement over a pledge’s death at MIT, Phi Gamma Delta requires all pledges and chapter officers to annually view the film "Tell Me Something I Don’t Know" and submit documentation of its viewing. This film can serve as a powerful educational tool and facilitate discussions on alcohol abuse, hazing sexual assault and many other topics.

If you have not already done so, invite a graduate brother, your Greek Advisor or ask your Field Secretary to show this film and facilitate a discussion with brothers and pledges this fall. Following the film, be sure to submit the documentation form.

For questions, facilitation ideas, or to obtain additional copies of this video, contact Rob Caudill, Director of Education.

CONSIDERING LEGACIES
What is your chapter’s legacy policy? There is no "across the board policy" for the entire Fraternity. Each chapter is charged with developing its own. Here are some guidelines and considerations.

PLEDGE EDUCATION RESOURCES
Many chapters will soon begin their fall pledge education programs. Is your chapter prepared? Do your pledge educators have a written program from which they will teach? In this regard, the Fraternity offers many resources to aid in a successful Pledge Education Program. Begin by accessing the resources available on the Pledge Education Information Page, including a downloadable program and Big Brother training resources.

Contact Director of Education Rob Caudill with questions or for help customizing your chapter’s program.

PROGRAMMING OPPORTUNITIES

Did you know that the Fraternity offers programs which help your brothers create a more responsible environment where alcohol is involved? Or that its leadership programs can help prepare you for a future chapter positions and put you a step ahead in your career search? Did you know that these are offered at no cost to the chapter?

If you are interested in your chapter benefiting from the Fraternity’s educational programs, first review the available programs: alcohol education or leadership development, then contact Rob Caudill with your request.

FIELD SECRETARY VISIT

These seven brothers (L-R: Adam Thomas, Brent Wehage, Adam Whitten, Jake Cramer, Joe Gamis, Brett Pytel and Ryan Pigg) have assumed the duties of Field Secretary and are on the road across North America visiting every chapter and colony, aiming to help strengthen Phi Gamma Delta. Their visits are meant to benefit the chapter. By reading this memo before your Field Secretary arrives, you can gain valuable chapter benefits from your Field Secretary's visit.

REPORT YOUR SERVICE
Does your chapter keep track of brothers’ service hours and dollars raised for charity? If not, add this to your philanthropy chairman’s list of duties!

Chapter service activities can also serve as a great public relations opportunity! The International Headquarters can use this information to help promote both your chapter, and the Fraternity as a whole. Let us know of your activities by completing the Philanthropy Documentation form. You may also email us the events your brothers participated in and the hours worked / dollars raised.

Wondering if your event will be covered by our liability insurance policy? Email us a description of the event / project.
